5.1. Registration is required to use our transcription services. The following data is collected:

• Password (stored encrypted)
• Registration date
• Chosen plan (free/Premium/Premium Plus)

5a. Calendar Integration and Meeting Bots (Premium Plus)

5a.1. Premium Plus users can connect their calendars to enable automatic meeting transcription.

5a.2. The following data is processed:

• Calendar credentials (OAuth token)
• Meeting titles and times
• Meeting URLs (Zoom, Google Meet, Microsoft Teams)
• Participant email addresses

5a.3. We use Recall.ai (USA) for meeting recording. Recordings are transmitted encrypted and deleted after transcription.

5a.4. Legal basis: Art. 6(1)(b) and (a) GDPR.

Important: Users must obtain consent from all meeting participants before activating the bot.

6. Processing of Audio Files

6.1. To perform transcription, you upload audio files to our servers.

Important: Uploaded audio files and transcriptions are automatically deleted immediately after processing.

6.3. Legal basis: Art. 6(1)(a) and (b) GDPR.

6.4. Processing takes place exclusively on servers within the EU (Germany).

7. Payment Processing (Premium Users)

7.1. We use Stripe (Stripe, Inc., 510 Townsend Street, San Francisco, CA 94103, USA) for payment processing.

7.2. The following data is transmitted to Stripe:

• Email address
• Payment information (credit card details, bank account)
• Billing address (if provided)
• Amount and currency

8. Storage Period

8.1. We store personal data only as long as necessary.

8.2. Specific retention periods:

• User account data: Until account deletion
• Audio files: Automatic deletion immediately after transcription
• Transcriptions: Until manual deletion
• Meeting recordings: Automatic deletion after transcription
• Calendar credentials: Until calendar connection is removed
• Payment data: As required by law (usually 10 years)
• Server log files: Maximum 7 days

9. Transfer of Data to Third Parties

9.1. Your data is generally not transferred to third parties, except:

• Express consent under Art. 6(1)(a) GDPR
• Transfer required for contract performance (e.g. payment provider)
• Legal obligation to transfer

9.2. We use the following third-party providers:

• Azure OpenAI (Microsoft): Azure OpenAI (Microsoft): For AI functions such as summaries, chatbot and analyses.
• Recall.ai: Recall.ai (USA): For automatic meeting recording for Premium Plus. Data is stored encrypted and deleted after transcription.
• Vercel Blob Storage: Vercel Blob Storage: For temporary storage of audio files (automatic deletion after processing).

9.3. All data transfers to third parties are encrypted via HTTPS.
